Insert images and documents

It is possible to insert images and documents into the collection management system. The following file types are currently supported: “JPG, PNG, PDF, DOC, XLS, ODT, ODS, TXT, MP4, OGG”. The maximum file size is 30 MB. Please note that the size of the files will affect your costs. The guiding principle: “Photos should be as small as possible, but as large as necessary to show all details” has proven to be effective. In addition to images and documents, videos can also be uploaded. This allows a specimen to be presented in a particularly impressive way. Please keep an eye on file size and upload limits.

The file upload always works the same way, regardless of where you find it. By clicking the green “+ Add” button, you can add files. Multiple selection is possible. Clicking the blue “Start” button transfers the file. Clicking “Upload” uploads all previously added files to the collection management system.

Once the file has been uploaded, it must still be assigned. This is done using the green “+ Assign” button. A description must now be entered. The copyright can be selected by entering a search term such as “Hans Mustermann”. If no match is found, a new contact can be created. It makes sense to do this in a new window (right mouse button, click on the link – open link in new window). The contact will then be immediately available in the original window. Finally, click the green “Insert” button.

The document is now assigned.

Images and documents for collection objects

As soon as you have opened a collection object and have write permissions, you can also attach documents to the object. In the bar with the small pictograms at the top and bottom, you will find this symbol . Clicking on the symbol takes you to the file upload. The rest works as described above.

Attach images and documents to analyses

In order to attach documents to an analysis, it must have been created beforehand. To do this, click and create a performed analysis.

Once the analysis has been created, one or more documents can be attached. To do this, open the analysis again using the symbol to the right of the analysis and press the blue “ File” upload button. The rest works as described above.

Attach images and documents to events

Attaching images to events works identically to the description for analyses. First, an event must be created , and then a file can be assigned to the event using the edit symbol to the right of the event.

Attach images and documents to contacts

In the burger menu (three horizontal lines at the top right), you will find the menu item Contacts. If a contact has been created there, you can edit it using the edit symbol. There you will find a “ File” upload, identical to the one for analyses and events.
