Print labels

This collection management system offers you the ability to print a wide variety of labels. Several useful label types are already predefined.

Starting with initial labels that allow you to mark specimens with a unique number and QR code, through labels for micromount boxes and other small containers, you can print labels based on various selections and with content defined by you.

You can specify whether only labels defined by you should be printed or also system-generated labels. System-generated labels can be overridden by your own labels. This allows you to adjust content that, for example, would not otherwise fit on the label.

Settings

What appears on your labels can be defined under “Collection-wide settings”. Open the hamburger menu (3 horizontal lines at the top left) and click on Settings.

You should experiment a little with the settings. Space on small labels can be used up very quickly.

Important: The option “Generate and print undefined labels” should almost always be enabled. Only then can the system generate labels automatically. Otherwise, only labels that you have manually defined for each collection object in the appropriate size will be displayed and printed. Since the system handles this for you, it is recommended to leave this option enabled and only override automatic labels in exceptional cases.

Open the hamburger menu and click on “Labels”. Then click on “H10001 (25.4, 10mm) – Page with unique IDs as initial labels”. After a short moment, a page of initial labels is generated for printing. The numbers change with each call and are globally unique.

You will need the corresponding Herma label sheets:

  • H10001 (25.4, 10mm) – laser printing
  • H8830 (25.4, 8.47mm) – inkjet printer

The labels are self-adhesive and partly removable. On specimens without smooth surfaces, a small piece of mounting putty can be used as a base. The labels are small so that they can also be discreetly attached to MM boxes and display specimens.

Label selection

Open the hamburger menu and click on “Labels”. A list of predefined labels is displayed. The label type and size are shown in the list and can thus be purchased commercially.

Some rows show additional fields with a starting number. This allows you to generate sequential labels. For example, if you enter A000001 and click “Generate”, a label sheet with consecutive IDs such as A00001, A00002, etc. is created.

If you want to reprint labels with QR code and IDs, click on Reprint. You can then enter one ID per line for reprinting. You can also define the starting position on the label sheet (rows and columns, from the left and top) and select the label type.

In the upper area, you can print initial labels and serial labels. In the lower area, you select labels to print data from your collection. The narrow labels for initial label printing appear both at the top and bottom. If you have selected an entire drawer or a set of collection objects via keywords, you can also print stickers with existing GUSIDs in the lower area.

If you would like to print other types of labels, we will need more detailed information from you and possibly test samples.

Starting position

A complete label sheet is not always printed. Therefore, it is possible to define the starting position for printing by specifying the position from the left and from the top.

Edit and save labels

You can have labels generated automatically or save them individually for each collection object. If the text does not fit on the label, you can store a shortened version directly with the respective collection object.

You can create individual labels by opening a collection object and clicking on the icon (green if one has already been defined, blue if not yet).

We recommend using the automated mechanisms wherever possible. Collection-wide settings and changes to content are then automatically applied to newly generated labels.

In the preview of your label sheet, you can use “+SELECT” to display a list of all labels to be printed. There, you can exclude individual labels from printing or remove the “to be printed” marking from all labels after printing. This way, you do not need to open each collection object individually to make these changes.

Reprint labels

You can reprint any label. This is usually identical to the reprint process.

To reprint initial labels, open the hamburger menu and click on “Labels”. Click on Reprint for the appropriate label type. In the dialog that opens, you can enter one ID per line for reprinting. You can also define the starting position on the label sheet and select the label type.

It is possible to create a complete set of labels for an entire drawer of collection objects.

  • Open the corresponding collection
  • Open the hamburger menu
  • Click on Storage location
  • Open the cabinet and click on the QR code icon for the container / drawer
  • In the label selection, choose the desired label type

Important: If not all objects have individually defined labels, the option “Generate and print undefined labels” must be enabled in the settings.

A convenient way to print labels for a selection of collection objects is by using keywords. You can define a keyword/label and assign it to all specimens for which you want to print a label. You should use a separate keyword for each label type.

In the keyword overview, you will also find a QR code icon. Click on the icon to go to the label selection. The remaining steps have already been described.

Once your labels have been printed, you can remove the assignments to the collection objects in the keyword/marker overview by clicking on the cross.

Define label sheets

If you require other label sizes or types, please contact us. We will need a test sheet to define the required rows, columns and spacing. Once the sheet is created, it will be available system-wide.
